1. Who we are

The Tape Group Limited, trading as Tape UK ("we", "us" or "our"), company number 14321356, 124 City Road, London EC1V 2NX, is the controller of your personal data. If you have any questions about this policy or your data, email info@tapeuk.com or call 020 7856 0459.

2. What we collect

• Enquiries: when you use our fee calculator or contact form, we collect your name, email address, phone number, business details, your calculator answers and your message.

• Clients: identity documents and verification results, date of birth, National Insurance number, UTR, addresses, business and financial records, payment and bank details, payroll data about your employees, and our correspondence with you.

• Website use: technical data such as your IP address, browser type and the pages you visit, collected through cookies (see section 9).

3. Why we use it and our lawful basis

• To reply to your enquiry and prepare a quote: because you asked us to, before entering into a contract, and our legitimate interest in responding to enquiries.

• To provide our services, manage your account and take payment: to perform our contract with you.

• To carry out identity and anti-money laundering checks and keep accounting and tax records: to comply with our legal obligations.

• To analyse and improve our website: with your consent, given through our cookie banner.

• To send you marketing emails: only if you have agreed. You can unsubscribe at any time.

• To recover debts and defend legal claims: our legitimate interest in protecting our business.

4. Who we share it with

We share your data only with those who need it to help us provide our services:

• Web3Forms, which processes our fee calculator and contact form submissions and delivers them to us;

• GoDaddy, which hosts our website and contact form;

• GoCardless, which collects Direct Debit payments;

• our accounting, payroll, email and secure cloud storage software providers;

• HMRC, Companies House and pension providers, where needed to provide our services;

• our professional body (the Association of International Accountants), insurers and professional advisers; and

• law enforcement agencies, including the National Crime Agency, where the law requires.

Our service providers may use your data only on our instructions and under a written contract. We never sell your personal data.

5. International transfers

Some of our service providers may process data outside the UK. Where they do, we make sure your data is protected by UK adequacy regulations or approved contract terms, such as the International Data Transfer Agreement or Addendum.

6. How long we keep it

• Enquiries that do not lead to our working together: 12 months from our last contact.

• Client identity and anti-money laundering records: 5 years after our business relationship ends, as required by law.

• Accounting, tax and payroll records: 6 years after the end of the period they relate to, or longer where the law requires.

• Website analytics: as set out in our cookie settings.

We then securely delete your data.

7. Your rights

You have the right to ask for a copy of your data, to have it corrected, deleted or restricted, to object to how we use it, to receive it in a portable format, and to withdraw any consent you have given. To make a request, email info@tapeuk.com. We will respond within one month and normally without charge. We may need to keep some data where the law requires us to.

If you are unhappy with how we handle your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Security

We protect your data with secure systems, access controls and encryption where appropriate. Only people who need your data to do their work can access it.

9. Cookies

We use strictly necessary cookies to make our website work. We use analytics and other non-essential cookies only if you consent through our cookie banner. You can change your choices at any time through the cookie settings link on our website or in your browser settings.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
